Welcome to Bakerflow. These Terms and Conditions (“Terms”) govern your use of the Bakerflow website, application, and related services (“Service”). By creating an account or using the Service, you agree to these Terms.

1. Who We Are

Bakerflow is operated by a sole trader based in Victoria, Australia.

“Bakerflow”, “we”, “us”, and “our” refer to the owner of the Service. “You” refers to anyone using the Service.

2. Description of the Service

Bakerflow is an online software platform that provides:

  • Recipe creation and costing
  • Inventory and batch tracking
  • Orders and customer management
  • Smart scheduling and production planning
  • Online storefronts
  • Capacity management
  • Analytics and reporting
  • AI-powered features such as recipe import

Features depend on your subscription tier.

3. Account Requirements

To use Bakerflow, you must:

  • Be 16 years or older
  • Provide accurate registration details
  • Keep your login credentials confidential

You are responsible for all activity under your account.

4. Subscription Plans and Billing

4.1 Subscription Plans

Bakerflow is a paid subscription service. We offer Pro and Business plans with different feature sets and pricing. Access to the Service requires an active paid subscription, except for beta program participants as described in Section 5.

4.2 Billing

  • Billed via Stripe
  • Prices are shown in AUD
  • Subscription fees recur automatically (monthly or annually)
  • You authorize Stripe to charge your selected payment method

4.3 Upgrades, Downgrades, and Cancellations

  • You can change your plan anytime
  • Upgrades may include prorated credits
  • Downgrades take effect at the end of your billing period
  • No refunds for partial billing periods
  • If you cancel your subscription, access ends at the end of your billing period

4.4 Refunds

Payments are non-refundable, except where we choose to offer credits at our discretion.

5. Beta Program

5.1 How to Join

How you join the beta depends on which cohort is currently active:

  • Cohort 1 (Founding Members): Access was by invitation only via our waitlist. The waitlist is now closed.
  • Cohort 2 (Launch Partners): Open to direct signup at app.bakerflow.com. No invitation required. New accounts started with a 3-week free trial.
  • Public launch: Open to direct signup at app.bakerflow.com. New accounts start with a 14-day free trial of the Pro plan.

5.2 Beta Cohorts

Beta testers join in limited cohorts, each with different terms:

  • Founding Member (Cohort 1): 6 weeks of free access, with the opportunity to lock in 70% off for life if you subscribed before the free period ended
  • Launch Partner (Cohort 2): 3 weeks of free access with no credit card required, with the opportunity to lock in 30% off for life if you subscribe before the free trial ends
  • Public launch: 14 days of access to the Pro plan with no credit card required. Standard pricing applies after the trial; there is no founding discount.

Cohort sizes and availability are determined at our discretion.

5.3 When Your Beta Period Ends

  • Cohort 1 (Founding Members) only: If you do not subscribe before your free period ends, your account moves to a limited Free plan with restricted features. This Free plan is exclusively available to Cohort 1 members.
  • Cohort 2 (Launch Partners): If you do not maintain an active subscription, your access to the Service will end. There is no free tier available for this cohort.
  • Public launch: If you do not subscribe before your trial ends, your account is paused and access to the Service ends until you subscribe to a paid plan. Your data is retained while the account is paused and access resumes on subscription. There is no free tier.
  • If you cancel a discounted subscription, the lifetime discount is forfeited and cannot be reinstated
  • Beta features may change at any time without notice

6. Acceptable Use

You agree NOT to:

  • Use Bakerflow for illegal, harmful, or fraudulent purposes
  • Upload malicious files or code
  • Attempt to reverse engineer or copy the Service
  • Abuse or overload the Service
  • Resell or sublicense Bakerflow without permission
  • Upload infringements, offensive material, or prohibited content

You may upload recipes, photos, product images, and order and customer information relevant to your bakery. We may suspend accounts that violate these Terms.

7. Intellectual Property

7.1 Bakerflow IP

We own the platform and software, user interface and designs, algorithms and data structures, trademarks and branding, and all documentation and marketing content. You obtain a license to use the Service, not ownership.

7.2 Your Content

You own all recipes, sub recipes, ingredients, products, pricing, orders, customers, production data, photos, documents, and uploaded files. You grant us permission to process this content to provide the Service.

8. AI Features

AI-powered features (such as recipe import) may send uploaded content to Claude (Anthropic) for processing. By using these features, you acknowledge and agree that your content may be securely transmitted to a third-party AI provider, the provider processes it only to perform the requested action, and to our knowledge they do not train public models using your data.

9. Online Store Responsibilities

If you use Bakerflow’s online storefront, you are responsible for accurate product details, complying with food safety and business regulations, fulfilling orders, and managing customer issues. Bakerflow is not a party to transactions between you and your customers.

10. Capacity and Scheduling

Bakerflow provides tools to help manage workload, including daily or weekly order limits, unavailable days, and production scheduling and availability. These tools are advisory. You remain responsible for managing your commitments and ensuring operational capacity.

11. Third Party Integrations

If you enable integrations (e.g., Square) you authorize Bakerflow to access and process related data. The integration provider’s terms apply, and we are not liable for issues caused by third parties.

12. Service Changes and Availability

We aim to maintain reliable service, but we do not guarantee uninterrupted availability. Maintenance and updates may affect functionality, and features or pricing may change from time to time. Where possible, we will provide reasonable notice of major changes.

13. Termination

Either party may terminate use of the Service. We may suspend or terminate accounts that violate these Terms, engage in harmful or illegal activity, or misuse the Service. Upon termination, access to paid features ends at the end of the billing period and data may be retained as required for legal or operational purposes.

14. Disclaimers and Limitation of Liability

To the fullest extent permitted by law, the Service is provided "as is". We make no warranties about availability, performance, or accuracy. We disclaim liability for losses including lost profits, lost data, or business interruption. Our total liability is limited to the amount paid by you in the previous three months, or AUD 100 if you are on the Cohort 1 Free plan, whichever is greater. Some exclusions may not apply in all jurisdictions.

15. Governing Law

These Terms are governed by the laws of Victoria, Australia. Any legal disputes must be handled in the courts of Victoria, Australia.

16. Changes to These Terms

We may update these Terms. Your continued use of the Service after changes means you accept the updated Terms.
