Bakery software
Bakery software that tracks deposits and production
Bakerflow is bakery software that tracks deposits and production on the same order. You take the deposit, the balance stays on that order, and a confirmed booking can become a production plan. Pro includes 20 production plans a month; Business is unlimited.
Custom bakery work should not live in texts, DMs, notebooks, and spreadsheets. The quote, the payment status, and the bake plan stay together, from the moment the customer says yes.

Deposit, then balance, then the bake
High-touch orders fail when the deposit is in one app, the amount still owing is in a message, and the bake list is in a notebook. Bakerflow keeps those three on the order.
01
Deposit on the order
Send a payment link and record the deposit against that order, so the booking is confirmed before you bake. Card payments go through Stripe. Bank transfer and PayID are recorded on the order once the money arrives; Bakerflow does not collect those payments.
02
Balance still on that order
The amount still owing stays with the same order. Payment status does not move into a separate thread.
03
Confirmed order can become a production plan
Due date, recipes, and stock feed the plan: what to shop, what to prep, and the steps through bake, finish, pack, pickup, or delivery.
That is the path. Price the order, collect the deposit, then plan the bake. More on the cost side: How to price custom cakes without undercharging. More on custom cake orders: Bakery software for custom cake orders.
What the production plan actually holds
A confirmed order is not a note that says "cake Friday". Bakerflow turns it into a plan you can work from.
- Shopping list for ingredients you are short of
- Mise en place list for what to prepare
- Step-by-step production workflow, with progress you can track
- Quality checks so the standard stays the same when you are busy
- A downloadable plan for the team
- Scheduling from the order due date, so start times follow when the order is due
- A production view for today, tomorrow, and the next seven days, including pickup and delivery
Inventory stays linked to the recipes. As the order moves into production, stock updates from those recipes, with expiry alerts and low-stock warnings. The full workflow is on Features.
Where the order comes in
You do not need a separate website or a Shopify store to take the order. The Online Store accepts made-to-order items with custom fields for design notes, capacity limits so you do not overbook, and links for Instagram, Facebook, and email. Those orders land on the same order as the deposit. Stock updates when the order moves into production, not when the deposit is recorded.
Customer emails (confirmation, ready, invoice) and an order tracking page sit on the same order. Square POS integration is available on Pro and Business if you already take some payments there. Bakerflow is not a counter till, and it is not a POS pickup system.
Who it is for, and who it is not for
For: custom cake and special-order bakers, cottage and home bakers going pro, and small teams who need the deposit, the balance, and the production plan on the same orders.
Not the first pick if: you mainly need a high-volume retail till for the same daily bread and pastry run, or a multi-site wholesale system with delivery routes. Bakerflow is for variable orders where the deposit and the bake plan have to stay attached, not for a counter-only POS. Honest forks are on Alternatives to Bakerflow.

Built by a baker
Bakerflow was created by Arvin, a working baker and winner of The Great Australian Bake Off. The product comes from custom-order work where the deposit, the notes, and the bake plan did not line up. Read more on About.

FAQ
Does Bakerflow track deposits and production together?
Yes. The deposit stays on the order, and a confirmed order can become a production plan with due dates, recipes, and stock linked in. Pro includes 20 production plans a month; Business includes unlimited. It is not a separate payments app plus a separate bake spreadsheet.
Does the balance stay on the order after the deposit?
Yes. Deposits and balances stay with the order. You can see what is paid and what is still open without hunting through messages.
What is in the production plan?
A shopping list, a mise en place list, the production steps, quality checks, and progress you can track. You can download the plan. Scheduling uses the order due date. Pro includes 20 production plans a month. Business includes unlimited production plans.
Is Bakerflow a POS?
No. It tracks the order through prep, production, and pickup or delivery, and it can connect to Square. It is not a retail till and it is not a POS pickup product. If the job is a counter till, see Alternatives to Bakerflow.
Can I try it before I pay?
Yes. Pro is free for 14 days with no credit card. You only add a card if you choose a plan after the trial. Your recipes, orders, customers, and stock stay if the trial ends before you subscribe.
